Itinerary and quotation request
By submitting the answers to the Seatraco Questionnaire, you explicitly request South and East Asia Travel Consultants Co., Ltd. to provide you with a free and obligation-free itinerary proposal and price estimate based on the information supplied in the answers to the Questionnaire. However, although South and East Asia Travel Consultants Co., Ltd. staff will do their utmost to compile an itinerary that matches as much as possible the indicated preferences, South and East Asia Travel Consultants Co., Ltd. reserves the right to propose alternatives whenever the indicated preferences are deemed not practical and/or not suitable due to, but not limited to, time constraints, availability, suitability or whenever found inappropriate. South and East Asia Travel Consultants Co., Ltd. also reserves the right, at its own discretion, to refuse to provide the requested services for whatever reason.

Confirming and reserving a trip
South and East Asia Travel Consultants Co., Ltd. will only consider a trip booking firm and valid after written confirmation of the acceptance of the proposed itinerary and price quotation, AND after payment in full of the non-refundable deposit within due date as indicated in the proposed itinerary and price quotation. South and East Asia Travel Consultants Co., Ltd. reserves the right, at its own discretion, not to accept a booking for which the deposit is incomplete or arrives after the due date, in which case the deposited amount will be returned in full minus a service fee of USD 100.00 to cover administrative costs.

South and East Asia Travel Consultants Co., Ltd. will not make any bookings or reservations until reception of the payment in full of the deposit as per these Terms and Conditions.

Fares and rates
All prices are in U.S. Dollars or EURO and are subject to change without notice. Rates are guaranteed once payment is received.

Deposits and payments
Deposits are fixed and non-refundable once the itinerary is confirmed and accepted by both parties and deposit has been made. The balance of your payment will be due in full at the date specified in the Confirmed Itinerary and Price Proposal. Non-receipt of payment by midnight of the following day will result in automatic cancellation of the reservation. If the reservation is made within 14 days of departure, payment of the entire trip price must be made at the time of the reservation including the deposit. For international airfare, full payment is due at the time of booking, regardless of how far in advance bookings were made.

Upon receiving your Deposit in full, South and East Asia Travel Consultants Co., Ltd. will proceed with making all requested travel reservations and will inform you by e-mail, whether the Itinerary indicated in the Confirmed Itinerary and Price Proposal is confirmed as is, or whether some alterations were necessary because of availability constraints.

South and East Asia Travel Consultants Co., Ltd. will take all reasonable steps to ensure that proper arrangements are being made for your trip in line with the Confirmed Itinerary and Price Proposal.

Changes in schedule
Once you and South and East Asia Travel Consultants Co., Ltd. agree on a tour itinerary and the deposit has been made timely and in full, the itinerary is considered final. If you still wish to make changes to your booking after reception of your deposit, South and East Asia Travel Consultants Co., Ltd. will do its utmost to accommodate your changes free of charge, however, you will be charged for any expenses incurred.

Travel documents
Travel documents will be sent via 2-day UPS, 48-hours after receipt of full payment. South and East Asia Travel Consultants Co., Ltd. is not responsible for lost or stolen documents, therefore, any re-issuance of documents may be assessed their full face value.

Air
Fares and schedules are based on regular scheduled service. All applicable airline rules apply. Schedules are subject to change. Basic air fares do not include:airport departure taxes, passenger facility charges (PFC's), customs and immigration fees or excess baggage charges.

Cancellations and refunds
Unless otherwise stated, airline, train and boat tickets are non-refundable, non-exchangeable, non-transferable.

A $100.00 per person fee, plus all non-refundable arrangements, will be assessed for all cancellations made after payment and more than 45-days prior to departure. For cancellations made within 45-days of departure, the following cancellation fees apply:

No refunds granted for lost/stolen documents. In addition, some "stand-alone" travel components which are cancelled and returned UNUSED within 6 months from the date of issue (rail tickets / rail passes / hotel vouchers, special cruises, etc.) have unique cancellation policies which will be stated at time of booking.

Unused tour arrangements
No refund will be made for any unused services, accommodations, excursions, or meals when they are included in the price of the tour. Also, no refunds will be made for lost, mislaid, or destroyed travels tickets or vouchers.

Alterations & cancellations made by Seatraco
The Confirmed Itinerary and Price Proposal is subject to local environment it is operated in at the time of the trip. In case of certain unforeseen events, such as, but not limited to, bad weather conditions, over-booking and closure of hotels, riot, decisions by local governments and closure of historical sights or attractions by their operators, South and East Asia Travel Consultants Co., Ltd. reserves the right to alter the scheduled itinerary accordingly. South and East Asia Travel Consultants Co., Ltd. will make all possible efforts to provide you with an alternative of equal interest and value, however, South and East Asia Travel Consultants Co., Ltd. will not be liable for any compensatory payments in such cases.

Passport(s), visa and medical certificates
Travelers must be in possession of a passport valid for at least 6 months after the termination of the trip. Obtaining required visa and/or medical certificates is the full responsibility of the traveler. South and East Asia Travel Consultants Co., Ltd. assumes no responsibility whatsoever for travelers embarking for or entering a country without the proper travel documents.

Insurance advice
South and East Asia Travel Consultants Co., Ltd. recommends that you subscribe to a Travel Insurance Plan to protect you against trip cancellation or interruption, illness, injury, and damage, loss or theft of baggage, as well as emergency assistance.

Tours, accommodation and meals
Tours, accommodation and meals will be provided to you as per the Confirmed Itinerary and Price Proposal. South and East Asia Travel Consultants Co., Ltd. reserves the right to substitute hotels and restaurants when necessary from those specified in the tour itinerary, for unavailability or other valid reasons.

Meals included in the Confirmed Itinerary and Price Proposal are provided with bottled mineral water. All other beverages are for your account and to be paid for in cash by you before checking out from the respective hotel or restaurant.

Hotel rates include hotel taxes and general service charges. Hotel rates do not include any expenses of a personal nature / incidental charges. Room assignments are at the discretion of the hotel management and specific requests cannot be guaranteed.

Check-in
Cannot be guaranteed prior to 2 PM. Departure is normally required by 11AM.

Car rental
Car rental is subject to car rental company rules. The traveler is fully responsible for having all the required documents such as, but not limited to, valid driver license and international driver license. South and East Asia Travel Consultants Co., Ltd. is under no circumstances responsible for any damages or losses incurred due to the car rental company refusing to provide the traveler with a car as a result of the traveler being unable to produce the necessary documents.
